Responsible to: 
HOPE Together Executive Director 

Salary:
£23,000 pro rata

Part Time:
15 Hours per week

Based at:
HOPE Office London

Job Summary    
To give secretarial and administrative assistance to the Executive Director and support to other members of the Hope Team as appropriate.

Main Duties (i.e. those which occur on regular or recurring basis)
  1. To keep the diary of the Executive Director, making appointments and organizing travel.
  2. To deal with enquiries on behalf of the Executive Director, especially liaising with key church and denominational leaders.
  3. Writing emails and reports at the Executive Director’s direction.
  4. To maintain and update Google Docs and Forms for the Executive Director.
  5. To manage events for the team and other key groups./li>
  6. To be an active team player in HOPE Together where we pray and seek God together.
  7. Social media platform scheduling support, responding to messages, and recording feedback 
  8. Basic website admin (uploading and editing pages)
  9. Digital support for video conference and diary management (Zoom/ Doodle)
Skill Level and Experience required:
  • Excellent organisational and time management skills.
  • Good written and spoken communication skills.
  • Accuracy and attention to detail.
  • A calm and professional manner.
  • Knowledge of local churches, how they work, lead in mission and enable volunteers
  • Excellent computer and administration skills - knowledge of Outlook Office 365, Word, Excel, Zoom, Wordpress, Adobe, Google Docs/Forms, social media platforms and PowerPoint would be an advantage.
  • A flexible and adaptable approach to work.
  • The ability to use your own initiative.
  • Experience of project management. 
  • Good typing skills

Operations Manager

We are looking for a professional Operations Manager to coordinate and oversee our Charity

HOPE Together is a small charity with a big reach. We resource, inspire, and equip local churches in mission and evangelism. We are entrepreneurial, visionary leaders shaping the conversation and practice in evangelism and mission in the UK and beyond. We use research, creativity, and innovation creating a movement of local churches across denominations and churchmanship. 

Summary: 
In this role you would be at the heart of the charity HOPE Together. Holding all the various threads together and making sure that projects happen on time, smoothly and accurately. You would manage the day-to-day finances and work closely with the Executive Director keeping everything on budget. You would have some line management responsibilities and work in the centre of the staff team. Your role would be vital liaising across the charity and connecting the production schedule, with the communications strategy and the actual deliverables.

Staff supervision
  • Performing HR duties such as recruiting, selecting, and working at the discretion of the Executive Director in overseeing the team with line management responsibilities
  • Helping the charity to promote high morale and communicate the charity’s operating policies, safety measures and strategy.
Financial management
  • Examine financial data and use them to improve output and impact
  • Manage monthly financial reporting and working at the discretion of the Executive Director to oversee the budget and financial forecasts
  • Reviewing and approving operational invoices and forwarding them to payment
Process and planning
  • Improve operational management systems, processes, and best practices 
  • Ensure all operations are carried on in an appropriate, cost-effective way
  • Formulate strategic and operational objectives at the discretion of the Executive Director
  • Monitoring the three-year plan and keeping it up to date, informing relevant partners of any changes and their impact on deliverables
  • Project management for specific key initiatives 
  • •Find ways to improve how the Charity meets its objectives 
  • Oversee the purchasing of materials, planning inventory and overseeing production and efficiency of our resources from design, print to delivery
  • Ensure the charity’s compliance with laws and regulations advising the board
  • Making sure that all employees fill out the required legal documents
  • Keeping the key funders list up to date and working at the discretion of the Executive Director on funding applications
  • Able to adapt plans when necessary and to advise on the impact of changes to plans
Additional areas
  • Working with the Executive Director to serve the Board of Trustees to keep the charity delivering its objectives to a high standard
  • Working with the Executive Director to serve other key stakeholder groups
  • To be an active team player in HOPE Together where we pray and seek God together.
Requirements
  • Knowledge of organisational effectiveness and operations management
  • Digitally literate 
  • Experience budgeting and forecasting
  • Excellent communication skills
  • Leadership ability

  • Outstanding organisational skills
  • A completer / finisher
Desirable Skills
Degree in Business, Operations Management, or related field

Additional Information
  • Salary commensurate with experience with the range of £28,000,00 – £33,000.00 pro rata
  • Fulltime preferable
